About the role

We are seeking an energetic, enthusiastic administrative assistant with an eye to detail and the ability to work to deadlines. This is a busy and diverse role requiring flexibility and the ability to multi task.

Excellent IT skills are required with competent Word and Excel skills; experience in CRM (Sales Force) and Xero is preferred.

The successful applicant will join a small team committed to improving literacy within our Indigenous communities.

The position reports to the Executive Director.  

Duties and responsibilities include:

Administration

  1. Answering phones and assisting with general and donor queries
  2. Managing volunteers (and basic setup training of them in office)
  3. Processing donation payments via phone and mail
  4. Assist with and send out mailings (especially with schools)
  5. Order office supplies
  6. Book supply ordering and chasing of stock (and if needed, chase invoices)
  7. Daily mail and banking
  8. General maintenance of office and office supplies like tea, etc. (liaise with cleaner)
  9. CRM: Be the Go to person for Sales Force and Data entry
  10. IT: Liaise with IT, boot server and backup
  11. Maintain record of office stock (books, donation boxes, t-shirts, receipt books & ILF stationery)
  12. Management of recurring donations
  13. Provide administrative support to Executive Director and Program staff as required

Data Entry

  1. Creditors Invoices – enter to correct expense code, ensuring they are entered in a timely manner
  2. Sales invoices prepared in Xero
  3. Record & Reconcile Donations & send receipts where necessary
  4. Banking
  5. Make sure all entries are processed for all bank accounts, credit cards and Paypal
  6. Filing

Other

  1. Assist with setting up for meetings
  2. Assist Finance Administrator as required e.g. collating of paperwork

Attractive salary plus statutory superannuation. Your salary is eligible to be packaged.
